Exhibitor Terms & Conditions
By submitting the Exhibitor Registration Form and completing payment, the Exhibitor (“Exhibitor”) agrees to the following Terms & Conditions with Modern Beauty Con (“Organizer”).

1. Booth Space Selection
Booth assignments will be made based on the order in which completed registration forms, signed agreements (if applicable), and full payment are received. Booth selections are subject to availability.
The Organizer reserves the right to modify booth assignments at its sole discretion if necessary due to event logistics, floor plan changes, fire code requirements, sponsorship obligations, or other operational needs.

2. Payment Terms
Exhibitor registrations are not considered confirmed until full payment has been received.
The Organizer reserves the right to cancel unpaid registrations, release reserved booth space, or adjust discounted pricing if payment deadlines are not met.

3. Cancellation & Refund Policy
No refunds will be issued for cancellations. A booth cancellation may be moved to the following year if the request is submitted in writing at least 60 days prior to the conference date and approved by the Organizer.
Booth spaces may not be transferred, assigned, or resold without prior written approval from the Organizer.

4. Consequences of Non-Payment
Failure to submit payment in full may result in:
  • Loss of discounted or early bird pricing.
  • Release of the Exhibitor’s reserved booth space.
  • Cancellation of the Exhibitor’s registration without further obligation by the Organizer.
5. Exhibitor Responsibilities
Exhibitors agree to:
  • Staff their booth during all published exhibit hall hours.
  • Conduct business in a professional, respectful, and ethical manner.
  • Maintain their exhibit in a clean and safe condition.
  • Comply with all venue policies, fire and safety regulations, and instructions provided by the Organizer.
  • Ensure all displays, demonstrations, and promotional activities remain within the boundaries of their assigned exhibit space unless otherwise approved.
The Organizer reserves the right to require modifications to any exhibit or to remove any display or exhibitor whose conduct, materials, or activities are deemed unsafe, disruptive, inappropriate, or inconsistent with the objectives of the conference.

6. Code of Conduct
The Organizer is committed to creating a professional, inclusive, and respectful environment for all attendees, exhibitors, sponsors, speakers, vendors, and staff.
Exhibitors and their representatives agree to conduct themselves professionally at all times and shall not engage in behavior that is disruptive, intimidating, discriminatory, harassing, offensive, or otherwise interferes with another participant’s conference experience.
The Organizer reserves the right, in its sole discretion, to require any individual to cease inappropriate behavior or to remove an exhibitor or representative from the event without refund if such conduct violates these standards.

7. Move-In & Move-Out Policy
Move-in and move-out schedules will be distributed to Exhibitors prior to the conference.
Exhibitors agree to:
  • Complete booth installation before the exhibit hall officially opens.
  • Keep exhibits fully operational during published exhibit hours.

The Exhibitor assumes responsibility for any damage caused to the venue by its employees, contractors, agents, or representatives.
The Organizer is not responsible for lost, stolen, or abandoned property remaining after move-out.
Failure to comply with move-in or move-out procedures may impact eligibility to participate in future Organizer events.

8. Non-Compete During Conference Hours
The success of the conference depends on maintaining attendee participation in official conference programming.
To protect the value provided to all exhibitors, sponsors, speakers, and attendees, Exhibitors and Sponsors agree that they will not organize, sponsor, host, advertise, or promote any competing activities during official conference programming without the Organizer’s prior written approval.
Prohibited activities include, but are not limited to:

The Organizer may approve exceptions at its sole discretion.

9. Prohibited Activities
Unless expressly approved in writing by the Organizer, Exhibitors may not:
  • Host, sponsor, or promote meetings, dinners, receptions, networking events, educational sessions, hospitality suites, demonstrations, or any other gathering that conflicts with conference programming.
  • Conduct promotional activities outside of their assigned exhibit space.
  • Distribute marketing materials in session rooms, registration areas, hotel common areas, or other public spaces without authorization.
  • Share, assign, or sublease exhibit space.
  • Operate displays or demonstrations that create excessive noise, obstruct neighboring booths, or otherwise interfere with conference activities.
  • Display materials that are unsafe, unlawful, offensive, or inconsistent with the professional nature of the event.
The Organizer reserves the sole right to determine whether an activity violates these policies and may require the Exhibitor to immediately discontinue the activity. Failure to comply may result in removal from the conference without refund and may affect eligibility to participate in future events.

10. Liability
The Organizer shall not be liable for loss, theft, damage, or destruction of Exhibitor property or for injury to Exhibitor personnel before, during, or after the conference.
Exhibitors are responsible for obtaining any insurance they deem appropriate, including general liability and property coverage.
The Exhibitor agrees to indemnify and hold harmless the Organizer, conference venue, and their respective employees, officers, contractors, and agents from any claims, damages, liabilities, costs, or expenses arising out of the Exhibitor’s participation in the conference, including the actions of its employees, contractors, or representatives.

11. Force Majeure
If the conference is canceled, postponed, relocated, or materially modified due to circumstances beyond the Organizer’s reasonable control, including but not limited to acts of God, severe weather, natural disasters, public health emergencies, governmental actions, labor disputes, acts of terrorism, war, civil unrest, or other unforeseen events, the Organizer shall not be liable for any resulting costs or damages.
In such circumstances, exhibitor payments will be applied as a credit toward the rescheduled conference or a future conference organized by the Organizer. No additional liability or compensation shall be owed by the Organizer.

12. Photography & Marketing
The Exhibitor acknowledges that photographs, video recordings, and other media may be captured during the conference.
The Organizer may use photographs, video, audio recordings, logos, company names, booth images, and related content featuring the Exhibitor for promotional, educational, marketing, and archival purposes in any media now known or later developed without compensation or additional approval.

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the Commonwealth of Massachusetts, without regard to its conflict of law principles.

14. Acceptance of Terms
By submitting an exhibitor registration and completing payment, the Exhibitor certifies that they are authorized to bind their organization to these Terms & Conditions and agrees to comply with all policies established by the Organizer.
